Behind the Scenes of a High-Profile Wedding: What You Don’t See

By JoAnn Gregoli | Founder, Elegant Occasions by JoAnn Gregoli

Everyone loves a beautiful wedding. The flowers, the fashion, the breathtaking setting, and those magical moments that seem to unfold so effortlessly.

And when it’s a high-profile wedding, there’s often even more excitement surrounding the celebration. People are curious about the guest list, the designer gown, the entertainment, and all those extraordinary details.

But after more than 30 years of planning weddings, including celebrations for some very recognizable families, I can tell you something that might surprise you.

The most important part of a high-profile wedding is often what you never see.

Behind every beautiful photograph and perfectly timed moment are months of preparation, countless conversations, a tremendous amount of coordination, and, perhaps most importantly, trust.

Because when you’re planning a wedding for someone whose life is often in the public eye, the greatest luxury you can offer is privacy, peace of mind, and the freedom to simply enjoy the day.

It All Begins With Trust

One of the greatest privileges of my career has been being invited into some very personal moments in people’s lives.

A wedding is emotional, no matter who you are.

There are family dynamics, expectations, traditions, and sometimes a little bit of chaos. Add a recognizable name or a high-profile guest list, and suddenly there are additional layers of responsibility.

But here’s something I’ve learned over the years.

Famous people want the same things everyone else wants on their wedding day.

They want to feel loved. They want their families to be happy. They want to celebrate with the people who matter most to them.

And they want to know that someone is taking care of everything.

My job is to build that trust from the very beginning.

I always want my clients to feel that they can pick up the phone, share a concern, change their minds, or simply say, “JoAnn, I need you to figure this out.”

And I will.

Privacy Is the Ultimate Luxury

We live in a world where almost everything ends up on social media.

But not every moment is meant to be shared.

When planning a high-profile wedding, discretion is just as important as beautiful design.

There may be additional considerations involving security, guest arrivals, vendor confidentiality, photography, transportation, and how information is communicated.

Sometimes it’s about coordinating separate entrances or ensuring that a couple has a few private moments away from the excitement.

Other times, it’s simply making sure everyone involved understands that this is someone’s personal celebration, not an opportunity for publicity.

I have always believed that the story belongs to the couple, not the planner.

And while I love sharing beautiful celebrations, I never forget that being trusted with someone’s wedding is a privilege.

The Details Nobody Sees

People often ask me what goes into planning a high-profile wedding.

My answer?

Everything you can imagine. And quite a few things you probably can’t.

There are the obvious details, of course. Finding the perfect venue, creating the design, selecting exceptional vendors, and bringing together all the elements that make a celebration beautiful.

But behind the scenes, there’s another world happening.

We’re managing timelines down to the minute, coordinating transportation, working with security teams when needed, preparing for unexpected weather, overseeing installations, and making sure every vendor understands exactly where they need to be and when.

And then there are the surprises.

A delayed delivery. A last-minute change. A guest who needs special assistance. A timeline that suddenly shifts.

Over the years, I’ve learned that no matter how carefully you plan, something unexpected will happen.

The secret isn’t pretending that everything will always go perfectly.

It’s knowing how to respond when it doesn’t.

I often joke that my greatest talent is remaining calm when everyone else is starting to panic.

And believe me, that skill has come in handy more times than I can count.

It’s Not About Creating the Biggest Wedding

There’s a misconception that high-profile weddings are always about extravagance.

Sometimes they are spectacular productions with incredible entertainment, elaborate installations, and unforgettable guest experiences.

But some of the most meaningful celebrations are surprisingly intimate.

What matters is understanding the couple.

Do they love entertaining? Are they passionate about music? Do they want a celebration filled with energy, or something quiet and romantic?

Are there family traditions that need to be honored? Is there a special place that holds meaning for them?

I never want a wedding to feel as though it was created simply to impress people.

I want it to feel like the couple.

Because when a wedding truly reflects the people getting married, that’s when the magic happens.

The Wedding Day: A Beautifully Choreographed Production

By the time the wedding day arrives, my team and I have usually spent months preparing for every possible scenario.

The guests see the finished celebration.

We see the hundreds of moving parts that make it happen.

While the couple is getting ready, we’re checking the ceremony setup, reviewing vendor arrivals, communicating with the catering team, coordinating entertainment, and making sure the smallest details are exactly where they belong.

We’re watching the clock, but we’re also watching the room.

Is everyone comfortable? Does the family need anything? Are the guests enjoying themselves? Is the couple relaxed?

Sometimes the most important thing I do all day has nothing to do with flowers, lighting, or logistics.

It’s reassuring a nervous parent, helping someone find a quiet moment, or making sure the couple has a chance to take everything in.

Those are the moments that matter to me.

When the Unexpected Happens

Here’s something I wish more people understood about luxury wedding planning.

The difference between a good planner and an experienced planner isn’t that nothing ever goes wrong.

It’s that when something does go wrong, the guests—and often the couple—never know.

Experience teaches you to think three steps ahead.

You learn to read a room, anticipate challenges, make quick decisions, and surround yourself with people who understand that excellence is a team effort.

I’ve always said that my clients shouldn’t have to worry about the details.

That’s my responsibility.

Their responsibility is to get married, celebrate, and enjoy every wonderful minute.

The Moment That Makes It All Worthwhile

People sometimes assume my favorite part of a wedding is seeing the finished ballroom or watching a spectacular room reveal.

And I do love those moments.

But after all these years, my favorite moments are often the quietest ones.

Watching a father see his daughter in her wedding gown.

Seeing a couple exchange a look just before walking down the aisle.

Standing at the back of the room as the music begins, knowing that everything we’ve worked toward is finally happening.

Or seeing the couple on the dance floor, surrounded by the people they love, completely lost in the happiness of the evening.

That’s when I know we’ve done our job.

Not because the flowers were perfect or the room looked extraordinary.

But because the couple was able to be fully present.

At the End of the Day, It’s Still About Love

I’ve had the honor of working with extraordinary people, in extraordinary places, on celebrations that I will remember for the rest of my life.

And while the scale, the setting, and the guest lists may change, the heart of every wedding remains the same.

Two people are beginning a new chapter together.

Families are coming together. Memories are being created. And for one beautiful day, the rest of the world can wait.

That’s what I love most about this business.

The glamour is wonderful. The creativity is exciting. And I will never stop loving the challenge of bringing an incredible vision to life.

But what matters most is the trust my clients place in me.

Because the true measure of a beautifully planned wedding isn’t just what everyone sees. It’s everything that happens behind the scenes to make those moments possible.

And sometimes, the greatest compliment I can receive is when a couple tells me, “JoAnn, we didn’t have to worry about a thing.”

That’s when I know I’ve done my job.
